Questions

The questions that come before the brief.

Short answers to the practical questions that organising teams ask first. If your question is not here, the brief builder is the next step.

What kinds of gatherings does Event Solutions work on?

Conferences, seminars and workshops, plus trade shows, corporate functions and product launches. The common thread is a professional or business audience with a reason to meet in person.

When should an organising team start planning?

As early as the date, the budget and the approval route allow. The first work is not booking a venue. It is writing the purpose, naming the audience and understanding which constraints cannot move. Those answers decide what kind of venue and programme are possible.

Can you work with our existing venue and suppliers?

Yes. The method is designed to sit around the team and the contracts that already exist. We will ask for the current floor plan, the supplier schedule and the venue terms, then test the programme against them.

How is an event budget structured?

Start with the programme and cost the work. The main groups are venue, catering, production, programme content, travel and accommodation, marketing, accessibility services and contingency. Each group should show committed, probable and open items, with an owner for every open item.

What happens on the event day?

The team works from one run of show with cues, owners and contact routes. The venue, the production team and the chair use the same document. Changes are recorded as they happen so the review has a factual base.

How is accessibility handled?

Access requirements are collected with registration and built into the room plan, the programme and the budget. That includes step free routes, seating, sightlines, interpretation, captioning, quiet space and materials in usable formats. The W3C Web Accessibility Initiative publishes practical guidance that can be used as a working checklist.

Do you publish client names or testimonials?

No. This site does not publish client names, attendance figures, awards, testimonials or partner logos because those claims would need evidence that is not available here. The work is described through formats, method and field notes instead.

What information helps at the first conversation?

The purpose of the gathering, the audience, the date or date range, the budget range and the one outcome that matters most. If some of those are still open, that is normal. The brief builder helps organise them into a shareable document.
